Write a useful incident log

An incident log is a dated record of events written while details are still fresh. It can help you organize a pattern for an HR complaint, housing problem, harassment report, or custody discussion. It is not a substitute for emergency help or professional advice. If someone is in immediate danger, contact the appropriate emergency service.

Record facts, not conclusions

Write what you directly saw, heard, sent, or received. Include the date and, when known, the time and place. Name the people present and separate direct observations from what another person told you. Instead of “They threatened me again,” record the exact words in quotation marks, who said them, how they were delivered, and what happened next.

Describe impact specifically: a missed shift, repair cost, medical appointment, changed handover, or time spent relocating. Avoid guessing at motives. A clear factual description is easier for another reader to follow.

Write promptly and consistently

Add an entry as soon as it is safe and practical. If you are reconstructing an older event, say so in the entry and identify the source you used. You do not need an entry every day; make one when something relevant happens. Use the same level of detail throughout rather than expanding only the most recent event.

  1. Enter the event date and optional time.
  2. Describe what happened in chronological order.
  3. List people involved and witnesses separately.
  4. Point to supporting material and record where or to whom it was reported.
  5. Review the entry for neutral, precise wording.

Link entries to message evidence

Use stable references instead of pasting all evidence into the log. For example: “WhatsApp PDF message #214,” “Bates TENANT-000083,” “email dated May 4,” or “photo IMG_2231.” Keep the referenced files unchanged in an organized folder. Message numbers from a paginated Text Exporter PDF can make the connection especially clear.

Back up and share carefully

This builder saves locally by default. Clearing browser storage can remove it, and another person using the same browser profile may see it. Download a JSON backup after important updates. CSV is convenient for a spreadsheet; print creates a readable copy. The blank template supports handwritten records when browser storage is inappropriate.

Share only with people who need it, such as an adviser, attorney, union representative, HR contact, landlord, caseworker, or relevant agency. Consider whether names, addresses, health details, or children’s information should be redacted from a shared copy. Keep your fuller original separately and note when you sent a copy.

Limits worth knowing

  • Browser storage can be cleared or lost; make regular JSON backups.
  • Anyone using the same browser profile may be able to open the saved log.
  • The tool records what you enter and does not verify events or evidence.
  • Printed and CSV layouts may need adjustment for very long entries.

Where is my log saved?

By default, it is saved in this browser on this device using local storage. It is not uploaded.

What if I clear browser data?

The saved log may be deleted. Download regular JSON backups and keep them somewhere safe.

Can I avoid saving on a shared device?

Yes. Turn on “Don’t save on this device” before adding sensitive information.

Can I edit an entry later?

Yes. Edit or delete entries from the list. Record corrections carefully if the history of changes matters.

What is the blank template for?

It prints a ruled blank incident log that you can complete by hand.
